Position Summary
The Office Manager will provide administrative assistance to Johannesburg, South Africa office staff. He/she will be responsible for office reception, various clerical duties, and will operate as the first point of contact for all general inquiries to the Johannesburg office.
 
Some Duties and Responsibilities
  • Represent the organization as the first point of contact competently and professionally
  • Maintain organized and accurate records of the Johannesburg office’s finances, including the submission of payment requests for general invoices, publication payments, and expense reports
  • Reconcile petty cash and American Express accounts
  • Act as liaison for IT troubleshooting and office equipment setup
  • Act as liaison to outside vendors
  • Assist with setup for new staff members to ensure smooth orientation
  • Answer phone calls and direct inquiries to appropriate staff
  • Distribute incoming mail and faxes to recipients promptly
  • Address general mail deliveries for the Johannesburg office, including invoices, requests for information, etc.
  • Monitor office equipmentand maintainsupply levels, submit supply order requests as needed
  • Maintain kitchen area daily and stock kitchen supplies
  • Ensure efficient management and maintenance of office equipment, facilities, IT, security, etc.
  • Maintain and reconcile timesheets
  • Coordinate travel arrangements for staff including preparation of travel authorizations and expense vouchers, making all relevant accommodations, land transport and air bookings
  • Maintain filing systems and ensure that they are up to date
  • Other related duties as assigned.



Qualifications


Minimum Qualifications
  • Associate’s degree in management, business, or related field; Bachelor’s degree preferred
  • Minimum 2 years of experience providing office administrative support
  • Strong ability to communicate effectively in English both verbally and in writing
  • Experience performing administrative tasks in an office environment
  • Advanced level proficiency in Microsoft Office Suite
  • Must demonstrate attention to detail and produce error free work in a fast paced environment
  • Ability to work effectively to meet set goals in a deadline-driven environment
  • Strong ability to apply effective organizational and multitasking skills to meet deadlines
  • An interest in international affairs, human rights, or political science preferred
