Organization Background
The Laogai Research Foundation was founded in 1992 by former political prisoner and human rights advocate Harry Wu. Its mission is to document and expose human rights abuses related to China’s Laogai system of forced labor camps. LRF is also home to the fully renovated Laogai Museum, now located in Dupont Circle in Washington, DC. It is the first museum in the U.S. dedicated to exposing human rights abuse in China. Overview
The Program Administrator is responsible for providing administrative, program management, and event coordination support to LRF staff. Some assignments may involve work of a highly confidential nature, requiring discretion with sensitive information. Some work after 5pm or on weekends may be required for special events.
Duties & Responsibilities:
- Handle incoming and outgoing correspondence for LRF (phone, email, fax) and ensure that all correspondence is opened on a daily basis, distributed as appropriate; follow-up with appropriate staff on important action items
- Maintain and improve general office organization and filing systems
- Maintain updated contact databases for all distribution lists, including press, advocacy, volunteers, vendors, etc.
- Schedule meetings and provide detailed itinerary for the Executive Director; ensure that the Executive Director is well prepared for meetings by coordinating with staff and external organizations when necessary
- Take the lead on preparation for museum events including programming, scheduling, invitations, promotion, materials, catering, event set-up and clean up and collaborate with Laogai Museum staff as necessary
- Work with Laogai Museum staff to advance promotion of museum through traditional marketing (print ads) and through internet and social media
- Manage blasting of press releases, fundraising, and advocacy emails
- Track staff timesheets, vacation, and sick leave for review by Director
- Handle all aspects of travel arrangements in a timely manner, i.e. making all hotel, auto, and airfare arrangements
- Maintain awareness of supported staff activities in order to expedite requests for information
- Receive guests, orient new staff and interns, and manage delegation of administrative, event planning, and programming duties to interns
- Maintain relationships with external vendors to ensure that office operates smoothly

Qualifications
Skills:
- Native-level English fluency; basic conversational Mandarin Chinese skills required (more advanced fluency is a big plus)
- Detail-oriented, proactive, quick learner who can function in a fast-paced environment
- Able to manage multiple priorities, projects, and deadlines and work collaboratively
- Strong verbal and written communication skills; excellent English grammar and spelling; outgoing, positive attitude
- Strong relationship building skills and ability to interact with varied constituencies
- “Go with the flow” attitude
- Ability and willingness to learn new procedures and skills
- Comfortable working in a multi-cultural setting
- Should be well-versed in Microsoft Office (Word & Excel), Gmail applications, and familiar with both PC and Mac
- Experience with Convio’s Common Ground software or Constant Contact Email Marketing a plus
- Bachelor’s Degree required: major in communications, management, Asian studies, international relations, or related fields preferred
- 1-2 years experience working in a non-profit administrative or event coordination role; or 2+ years administrative experience outside non-profit setting
- Experience studying or working abroad in China, Taiwan, or Hong Kong preferred
- Demonstrated knowledge of or interest in modern Chinese History and/or human rights issues preferred
